Cancellation on Fotowall is a single click, and we don’t make you talk to anyone first. This article explains what happens to your data when you cancel, in plain language.
How to cancel
From the admin dashboard, click your avatar → Account → Cancel account. A short confirmation screen explains exactly what gets cancelled. Click Confirm cancellation.
The account is marked closed immediately. You won’t be billed for any future events. Past events stay live within their retention windows (below).
What happens immediately
When you cancel:
- You can no longer create new events.
- No future billing. Any unfinished invoices for completed events still need to be paid.
- Your team’s sign-in stops working for any pending or future events (past-event access continues).
What happens to past events
Past events stay live for 12 months from the event date by default. This means:
- The wall URL still loads (though no one’s typically watching it after the event).
- The public gallery URL still works — guests you shared it with can still see and download photos.
- Photo-removal requests still process.
After 12 months from the event date, the gallery URL stops responding and the underlying photos are deleted from our servers. This applies whether or not you cancel your account — it’s the standard retention.
Premier plan extends retention to 24 months. Enterprise plan extends to 60 months (or custom).
Downloading photos before they expire
You can export every photo from every event at any time, including after cancellation:
- Open the event detail page.
- Click Export all photos in the header.
- Wait for the zip to assemble (large events take a few minutes).
- Download the zip.
The zip includes:
- Original-resolution JPEG files for every photo.
- A
manifest.csvwith photo ID, timestamp, uploader name (if collected), custom field value, caption, and moderation status. - A
README.txtwith the export timestamp.
You don’t lose this access when you cancel — exports work for the full retention window.
Photo-removal requests after cancellation
Guests can still request photo removal via the photo-removal form for the full retention window. Our team processes these directly even after the account that owned the event has cancelled — this is part of the compliance contract we offer to every guest.
Re-activating a cancelled account
You can re-activate within 90 days by signing in and clicking Re-activate account. All your team, past events, and saved templates come back exactly as they were.
After 90 days, re-activation requires a fresh sign-up. Past events remain accessible to you for their retention windows via the original gallery URLs.
A note on GDPR and DSAR
For European users, the cancellation flow above is sufficient to exercise your right to erasure. If you need a faster timeline than the standard retention (e.g., you need every photo deleted in 30 days), email privacy@fotowall.io with your account email and the request. We respond within 5 business days.
